Notebook II Plus Databases
If your Notebook database was created with the NBCitation short form structure, you
can use the predefined converter file for importing your database into Citation. If you
designed your own field structure for the database, you will want to edit a predefined
report format file, to map the fields in your Notebook database to the appropriate
fields in Citation.
Converting short form Notebook databases
Part 1. Determine your database ID number
- Open your short form database in Notebook II.
- Choose Utilities, Options. The Options screen includes a listing with the your Database ID Number. Make a note of the number.
- Exit Notebook II and return to the DOS prompt.
Part 2. Installing the converter files
Copy the nb2c7.rxx report file from the Citation CD to your Notebook II directory. with the appropriate
number for your Notebook II database. For instance, if your Database ID Number is 00, you
would type in this copy command:
C:\>copy a:\nb2c7.rxx c:\notebook\nb2c7.r00
If Notebook II was installed in a different directory or drive, you will need
to enter the appropriate directory and drive name in the command line.
Part 3. Converting Notebook II / Citation Databases to a text file
- Start Notebook II, and then open your short form database.
- Choose Print, and enter nb2c7 as the custom report format file to use.
- Choose Destination, and enter a filename for the print destination:
mydata.txt
Make certain this filename is different from your original database name!
- Exit Notebook II.
Part 3. Opening the new datafile
- Copy the new datafile to your Citation 7 directory, with a new extension:
copy mydata.txt c:\citwin7\mydata.dat
- Start Citation, and open the new datafile.
Note: Many of your records will be converted to the Full Record form. You can change the forms by using the Change Form feature.
Using a custom report format
Part 1. Customizing 2C7 to work with your database definition
- To use the custom report format file, you will need to determine your Database ID Number (listed under Utilities, Options in Notebook II; see Part 1).
- Copy the 2c7.rxx custom report format to your Notebook directory.
- Edit the custom report format file with Notebook, so that the corresponding fields in your database will be transferred to the proper fields in Citation.
Place the cursor next to the appropriate field, and insert the field number for the corresponding field in your own database.

For instance, next to the field label for Author (>AU) in the custom report, insert the corresponding field in your database
for Author names. Here are some suggestions for mapping fields that are likely to be in your field definition:
Keynames Access Phrase field (>AP)
Notes Abstract field (>AB)
Subject indexing terms Keywords (>KW)
Library call numbers Reference (>RF)

Use the Field Definitions section of this manual to determine which fields best correpond to those in your own database.
You might want to note that you can use Custom1 and Custom2 for field content that differs fundamentally from the definitions for field content in Citation. To display the custom fields in Citation, copy the file formsall.def to forms.def.
- When you have finished editing the custom report format, exit to the Print menu, and choose Destination to enter a filename to write your records to:
mydata.txt
Make certain this filename is different from your original database name!
Part 2. Open the datafile in Citation
- Copy the new datafile to your Citation 7 directory, with a new extension:
copy mydata.txt c:\citwin7\mydata.dat
- Start Citation, and then open the new datafile.
